"Make My Day!" - Day of Wedding Coordination Services

In a previous blog post titled "Who Needs a Wedding Planner Anyway?", we outlined a few of the many advantages of hiring a wedding planner. One of the reasons we gave for hiring a planner was that it is impossible for even the most hands-on bride to do it all herself, especially on the wedding day itself.

We painted a picture of a bride trying to do her makeup while being on the phone checking on the DJ's set up, the decor, seeing if the cake will be delivered on time, and trying to direct the photographer all at once. This is a recipe for having a dreadful and stressful wedding day! Your wedding should be the best day of your life not a work day! We therefore suggested that couples should at the very least hire a day of wedding coordinator.

But what exactly does a day of wedding coordinator do?

Well to start off, the name "day of wedding coordinator" is a bit of a misnomer. The job of the day of wedding coordinator actually starts before the day of the wedding. Most times it starts a month before the wedding day. The coordinator will help you to do several things ahead of the big day including:

1.Prepare or help the couple finalize their wedding timeline. This is a running order for the day including times for set up of the venue(s), time for the photographers, hairstylists, makeup artists etc to start their jobs, the time for delivery of the cake, when the bride and groom will get ready etc. It will also include even the smallest details like the songs to be played for the processional and recessional;

2. Help with the final seating chart and layout of the venue(s);

3. Coordinate the wedding rehearsal to ensure that everyone in the bridal party, the officiant etc knows how things are to flow on the day of the wedding; and

4. Do all actions which may be outstanding leading up to the wedding day (such as finalizing and getting programmes printed, confirm final numbers with caterers etc)

At the wedding itself, the coordinator will ensure that everything is in place, and all the details are done to the bride and groom's satisfaction. The day of wedding coordinator ensures that all the vendors deliver the services they are supposed to, the way they are supposed to and provides general direction to all vendors including the decorators, photographers etc, The day of wedding coordinator also ensures that final payments are made to the vendors. The day of wedding coordinator will therefore make decisions on behalf of the couple to ensure that what they envision is what is executed.

The day of wedding coordinator also provides direction to the bridal party, ushers, guests etc from the ceremony, to cocktail hour, to reception.

The day of wedding coordinator is also on hand to deal with all the things that don't go as planned (like rain on your wedding day with an outdoor reception and a damaged tent!)

Most importantly, the day of wedding coordinator closely monitors the timeline and makes sure everything runs smoothly and seamlessly, putting the couple's mind at ease so that they can enjoy their wedding day!

When it comes to your wedding day your only job should be to drink, eat and be merry with the love of your life (and of course say 'I do' at the appropriate moment). Leave everything else to the professionals.
